INFORMATION SUPPLIED BY BONNIE J. HORTON: WinZip 6.2 (16-bit) Instructions for Windows 3.1 and Comupserve 2.6 These instructions should be printed out with the page margins set to Left 0.25". Right 0.25". Top 1". Bottom 0.5". To do this, click on *file* above. Click on *page setup.* Set the margins above. These instructions are for WinZip in the Classic mode. I would suggest that you use the WinZip Classic instead of the WinZip Wizard. It is easier to use. When you first enter WinZip, you will either be in the Classic or Wizard mode. If you see a button at the top right that says *Wizard* on the toolbar, you are in the classic mode. This is where you want to be. If you enter WinZip and you are in the *Welcome to WinZip Wizard,* you need to change it to the *Classic* mode. To do this, click on the bottom left-hand button that says *WinZip Classic.* This is where you need to be to follow the instructions below. Always start your WinZip in the Classic mode. You may use WinZip for a 21-day free trial. After 21 days, you must register WinZip if you wish to continue to use it. Until you are a registered licensed user of WinZip, a window will open up with the agreement to use WinZip for evaluation. Whenever this happens, click on *I Agree* to continue on. I will also use the directory *stduser* for the StenoCAt directory and the file name *coal* for purposes of examples throughout these instructions. ZIPPING A FILE WITH WINZIP: Open WinZip. Click on the *New Button* on the top left. You can also click *File* and then *New Archive.* A *New Archive* window opens. In the top left under *Archive Name* TYPE in your job name (coal). You MUST, I repeat MUST type the name of your job in that window (coal). NOTE: If you click on one of the job extensions to put the name of the job in that window and click okay, a window will open that says: "Cannot create C:\stduser\coal.doc, (or whatever extension you clicked on). File already exists. Open existing file? Please press F1 for help." Click *No* so you can start over. If you click *Yes.* another window will open that says: "Cannot open file. It does not appear to be a valid archive. Please press F1 for help." Under the *Directories,* double click on *C drive.* Arrow down to your CAT directory. Double click on it. It will now be under *Directories *C:\stduser,* or whatever your CAT directory is. At the bottom is a *List Files of Type* window. Make this *All Files.* Over to the right you will see an *Add Dialog* box. Put a check in this box, because this is what tells WinZip to automatically open the next window. If you don't check it, you have to open the *Add* window manually by clicking on the *Add* button when WinZip takes you back to the previous window. Now click *Okay.* An *Add* window opens. In the upper left window under *Add Files,* you are going to add the files you want to zip. To do this, go to the right under *Select Files.* Arrow down to where your job is. Click on the first extension to highlight it. Hold down the *Shift Key* and click on all the other extensions to highlight them. As you are doing this, you will notice in the *Add Files* box on the top left that each extension you click on will go into this box to be zipped. In the *Action* box, put *Add (replace) Files.* In the *Compression* box put *Normal.* Under *Folders,* don't check these. Now click the *Add* button in the upper right. All your file extensions will now be zipping at the bottom of the window. When WinZip finishes zipping all the files, they will be listed in the window with each extension. Exit WinZip. If you want to go back into the File Manager and into your CAT directory, you will see the zipped file under your original file extensions. This is your zipped job. ZIPPING WITH WINZIP IN THE FILE MANAGER: Go into File Manager. Go to where your file is located you want to zip, such as STDUSER for StenoCAT. Click on *stduser*. Highlight all the file extensions that you need to send the file. To do this, click on the first entry that goes with the job. Hold down the *Shift Key* and then click on all the extensions that go with the entire job you want to zip. Look at the top of your screen where it has the toolbar. Click on Winzip. Click on *Add File to Archive.* Winzip will open a window to add these files to an archive. You will notice in the *Add to Archive* box it will be highlighted with the C drive and the directory where the file is located. (Example: C:\stduser\ ) Do not erase that. Click once at the end of that line to unhighlight it. Now type in the same name of the file, or job, you want to add to zip. (Example: C:\stduser\coal.zip) You don't have to add the .zip. WinZip will automatically do it for you. Click the *Add Button.* You will now see all the files being zipped together. When WinZip finishes zipping the files, you will see them all listed individually in the window. Click on *File* and then *Exit.* This will now take you back to the File Manager. You will now see all the original files with all the extensions still highlighted. Right underneath those you will now see the file you just zipped, *coal.zip.* This file contains all the files above it zipped in one file. EMAILING YOUR FILE: Click on *Mail.* Click on *Send File.* Type in the name and address to send to. Click the *Add* button. Click *Okay.* Subject Box: Type in the name of the file (coal.zip) you want to send. Click on the *File* button. Directories Window: Double click on the C drive. Arrow down to the directory where your file or job is located. Double click on it. In the *List Files of Type,* put *All Files.* File Name Box: You will now see a list of all the files in that directory. Arrow down to the zip file you want to send (coal.zip). Click on it to put it in the *File Name Box.* Click *Okay.* You will now see your job or file in the *File Name Box.* In the *File Type* box, make sure it says *Binary.* Click the *Options* button, and click on *Receipt,* and then click on the *Okay* button. You can now either send it or put it in the *Out-Basket.* When the other person receives the email, all they have to do is download it to their CAT directory, or wherever, and it will go there. I might note here, that they will have to follow the instructions below for unzipping, because the zipped file will only be in the CAT directory in the File Manager at this time until it is unzipped into the CAT system. DOWNLOADING EMAIL: To reporters before I start. If you already have this same file name in your CAT directory and you are getting it back from your scopist, I would suggest that you change the name of the job in your CAT system before you download the edited job, because it will ask you if you want to overwrite the existing file. To save the original file you sent to your scopist, change the name first. When you are asked if you want to overwrite the existing file, it will only overwrite the zip file you sent, not the original file before you zipped it. Open your email. Click on *Get.* Click on *Retrieve.* A *Save As* window will open up. The email job name will be highlighted in the *File Name Box.* Directories Box: Double click on the C:\. Arrow down to your CAT directory you want it to go into. StenoCAT would be *stduser.* Double click on *stduser, or whatever yours is. It should now be listed at the top under *Directories.* Save Files as Type Box: Make it *All Files.* Click *Okay.* It will now download to your CAT directory in the File Manager. NOTE: Because the file is zipped, it will not actually be in your CAT system until you unzip it. It will be in the CAT directory in the File Manager. UNZIPPING USING WINZIP: Open WinZip Click on *Open Archive.* You can also click on *File* and then *Open Archive.* Under *Directories* it should have your CAT directory listed at the top where you downloaded the file to. If not, double click on *C: drive.* Arrow down to the directory where your file is located. Double click on that directory. It should now be listed at the top under *Directories.* In the *Files of Type* at the bottom left of the screen, click on it and highlight *Archives and .exe Files.* All the zipped files in this directory will now show in the window. Click on the file you want to unzip. It will now show in the *Archive Name* box at the top left. Click *Okay.* WinZip will now open with a window showing all the file extensions for that job. Click on the first entry in the list to highlight it. Hold the *Shift Key* down and click on all the other extensions for this job to highlight them. You can also just highlight the first one on the list. Click the *Extract* button at the top. An *Extract Window* opens up. At the upper left there is an *Extract To* box. This should say *C:\stduser,* or whatever your CAT directory is where you downloaded it to. If it doesn't, you want to change this to where you want it to be extracted to, your CAT system, et cetera. To do this, go to the right where it says *Folders/Drive.* Double click on *C drive.* Arrow down to where your CAT directory is you want to extract to. Double click on it. It will now show in the *Extract To* box. Under the *Extract To* box is *Files.* Check *Selected Files* if you have highlighted all of them, or check *All Files* if you only highlighted the first one. Below that check *Use Folder Names.* Click on the Extract* button located in the upper right. Click *File* and *Exit* out of WinZip. You can now go into your CAT system and the job will be there unzipped and ready to go. UNZIPPING FROM THE FILE MANAGER: Go into the File Manager. Click on your CAT directory. Find the job (coal.zip). Double click on it. WinZip will now open with a window showing all the file extensions for that job. Click on the first entry in the list to highlight it. Hold down the *Shift Key* and click on all the other extensions for this job to hightlight them. You can also just highlight the first one on the list. Click on the *Extract* button at the top on the toolbar. An *Extract* window opens up. At the upper left there is an *Extract To* box. This should say *C:\stduser,* or whatever your CAT directory is where you downloaded it to. If it doesn't, you want to change this to where you want it to be extracted to, your CAT system, et cetera. To do this, go to the right where it says *Folder/Drives.* Double click on the *C drive.* Arrow down to where your CAT system is you want to extract to. Double click on it. It will now show in the *Extract To* box. Under the *Extract To* box is *Files.* Check *Selected Files* if you highlighted all of them, or check *All Files* if you only highlighted the first one. Below that check *Use Folder Names.* Click the *Extract* button at the upper right. You will see at the bottom the files are now being extracted to your CAT directory. Click *File* and *Exit.* You will now be back in the file manager. Notice that your (coal.zip) file is still highlighted. You will also see above that file all the files you just unzipped within that zipped file. You can now go into your CAT system and the job will be there unzipped and ready to go.
