INFORMATION SUPPLIED BY BONNIE J. HORTON: WinZip 6.2 (32-bit) Instructions for Windows 95 and Compuserve 3.0.4. These instructions should be printed out with the page margins set to Left 0.25". Right 0.25." Top 1". Bottom 0.5". To do this, click on *File* above. Click on *Page Setup.* Set the margins above. These instructions are for WinZip in the Classic mode. I would suggest that you use the WinZip Classic instead of the WinZip Wizard. It is easier to use. When you first enter WinZip, you will either be in the Classic or Wizard mode. If you see a button at the top right that says *Wizard,* on the toolbar, you are in the classic mode. This is where you want to be. If you enter WinZip and you are in the *Welcome to WinZip Wizard,* you need to change it to the *Classic* mode. To do this, click on the bottom left-hand button that says *WinZip Classic.* This is where you need to be to follow the instructions below. Always start your WinZip in the Classic mode. You may use WinZip for a 21-day free trial. After 21 days, you must register WinZip if you wish to continue to use it. Until you are a registered licensed user of WinZip, a window will open up with the agreement to use WinZip for evaluation. Whenever this happens, click on *I Agree* to continue on. I will also use the directory *stduser* for the StenoCAT directory and the file name *coal* for purposes of examples throughout these instruction. ZIPPING A FILE WITH WINZIP: Open WinZip. Click on the *New Button* on the top left. You can also click *File* and then *New Archive.* A *New Archive* window opens. Click on the *Create in* window. Click *C drive.* Double click on *stduser,* or whatever your CAT directory is. It will now show in the *Create in* window. At the very bottom of the screen is an *Add Dialog* box. Put a check in this box, because this is what tells WinZip to automatically open the next window. If you don't check it, you have to open the *Add* window manually by clicking on the *Add* button when WinZip takes you back to the *New Archive* window. Just above that in the *Show Types* window, put *All Files.* Also at the bottom is a *File Name* window. You MUST, I repeat MUST type the name of your job in that window (coal). NOTE: If you click on one of the job extensions to put the name of the job in that window and click okay, a window will open that says: "Cannot create C:\stduser\coal.doc, (or whatever extension you clicked on). File already exists. Open existing file? Please press F1 for help." Click *No* so you can start over. If you click *Yes*, another window will open that says: "Cannot open file. It does not appear to be a valid archive. Please press F1 for help." So now that you have TYPED in the job name, click *Okay.* An *Add* window opens. At the top in the *Add From* window should be your CAT directory (stduser). If not, click on it once and then click on *C drive.* Double click on *stduser,* or wherever you CAT directory is. It should now show in the *Add From* window. All your jobs will be showing in the large window. In the *File Name* box below is where all the job extensions will go to zip the job. To do this, arrow over to your job. Click on the first job extension to highlight it. Hold the *Shift Key* down and click on all the other extensions to hightlight them. As you are doing this, you will notice in the *File Name* box that each extension you click on will go into this box to be zipped. In the *Action* box, put *Add (and Replace) Files.* In the *Compression* box, put *Normal.* Under *Folders,* don't check these. Now click the *Add* button on the right. All your file extensions will show up in a window showing you they are now all zipped in one file. Exit WinZip. If you want to go back into Windows Explorer into your CAT directory, you will see the little yellow icon with a clamp on it under your original job extensions. This is your zipped job. ZIPPING WITHIN WINDOWS EXPLORER WITH WINZIP: Double click on Windows Explorer. In Windows Explorer, go to where the file is located you want to zip, such as *stduser* for StenoCAT. Click on *stduser." Highlight all the file extensions that you need to send the file. To do this, click on the first entry that goes with the job. Hold down the *Shift Key* and then click on the extensions that go with the entire job you want to zip. Click on *File* in the upper left on the toolbar. Click on *Add to Zip.* WinZip will open up a window to add these files to an archive. You will notice in the *Add to Archive* box it will be highlighted with the C drive and the directory where the file is located. (Example: C:stduser\ ) Do not erase that. Click once at the end of the \ to unhighlight it. Now type in from the last \ the same name of the file, or job, you want to add to zip. (Example: C:\stduser\coal.zip) You don't have to add the .zip. WinZip will automatically do it for you. In the *Action* box, put *Add (and Replace) Files.* In the *Compression* box, put *Normal.* Under *Folders,* don't check these. Now click on the *Add* button on the right. You will now see all the files that you just highlighted for that job in WinZip zipped. When WinZip finishes zipping the files, you will see them all listed individually in the window. Click the X in the upper right-hand corner to close WinZip. You will now be back in Windows Explorer. If you look at the very last entry, you will see your job name and a little yellow picture with a clamp on it. If you go out of this folder or directory and then go back in, it will be right underneath all the file extensions you just zipped. That indicates all the files you just zipped are in that little yellow picture (icon). EMAILING YOUR FILE: Go to Compuserve. Click on *Mail.* Click on *Send File.* Not *Create Mail.* Click on the window that says *Look In.* Click on C drive. Go to the directory where your file is you want to send and that you just zipped. Double click on the directory to put it in the *Look In* box. At the bottom of the screen you will see *Files of Type.* Click on *Compressed Files.* All your files will be there in that directory that are zipped. Click on the zipped file you want to send. It will show in the box *File Name.* Click *Open.* Another window opens with your file listed in the window to send in it. Click *OK* at the bottom of your screen. This takes you back to your email. You will notice in the upper right it will have a 1 where it says attach file. This is your zipped file you are sending. Type in the name, address, and subject. This is usually the name of the file you gave it with a .zip extension. It doesn't matter if you put the zip in or not, because your attachment you just did will have the .zip extension. Click on the *Options* button in the upper right. Click on *Receipt Requested* then *Okay.* You can either send it now or later. If you send it later, it will be filed in your file cabinet under *Outgoing Messages.* When you log on, just go to that file and open it up and send your email. When the other person receives the email, all they have to do is download it to their CAT directory, or wherever, and it will go there with the yellow picture with the clamp. I might note here, that they will have to follow the instructions below for unzipping, because the zipped file will only be in the Windows Explorer CAT directory at this time until it is unzipped into the CAT system. Say if you have StenoCAT, you would download it to the stduser directory. DOWNLOADING EMAIL FILES: To reporters before I start. If you already have this same file name in your CAT directory and you are getting the file back from the scopist, I would suggest that you change the name of the job on your CAT system before you download the edited job, because it will ask you if you want to overwrite the existing file. To save the original file you sent to your scopist, change the name first. When you are asked if you want to overwrite the existing file, it will only overwrite the zip file you sent, not the original file before you zipped it. Open the mail. Click on *Save.* A window opens. At the top is a window *Save In.* Click in the window. Click on *C drive.* Double click on the directory where your CAT system is. (StenoCAT would be *stduser.*) It will now show in the *Save In* window. At the bottom of your screen is a *Save as Type* box. Click on this box. Highlight *All Files.* Click the *Save* button. It will now download to that directory. You will see a blue box in the upper left-hand corner showing you the download. When it is finished, click on the *X* in the upper right-hand corner to exit Compuserve. Note: Because the filed is zipped, it will not actually be in your CAT system until you unzip it. It will be in the CAT directory in Windows Explorer. UNZIPPING USING WINZIP: Open WinZip. Click on *Open Archive.* You can also click on *File* and then *Open archive.* Click on the *Look In* window and then click on *C drive.* Double click on *stduser,* or whatever your CAT directory is. It will now show in the *Look In* window. In the *Files of Type* at the bottom of the screen, click on it and highlight *Zip Files.* All the zipped files in this directory will now show in the large window. Click on the file you just downloaded. It will now show at the bottom in the *File Name* window. Now click the *Open* button at the right. WinZip will now open with a window showing all the file extensions for that job. Click on the first entry in the list to highlight it. Hold down the *Shift Key* and click on all the other extensions for this job to highlight them. You can also just highlight the first one on the list. Now click on the *Extract* button at the top on the toolbar. An *Extract Window* opens up. At the upper left there is an *Extract To* box. This should say *C:\stduser,* or whatever your CAT directory is where you downloaded it to. If it doesn't, you want to change this to where you want it to be extracted to, your CAT directory, et cetera. To do this, go to the right where it says *Folders/Drives.* Double click on *C drive.* Arrow down to where your CAT directory is you want to extract to. Double click on it. It will now show in the *Extract To* box. Under the *Extract To* box is *Files.* Check *Selected Files* if you highlighted all of them, or check *All Files* if you only highlighted the first one. Below that check *Use Folder Names.* Click on the *Extract* button in the upper right. Exit WinZip. You can now go into your CAT system and the job will be there unzipped and ready to go. UNZIPPING FROM WITHIN WINDOWS EXPLORER WITH WINZIP: Go into Windows Explorer. Click on your CAT directory. Find the job you just downloaded with the *yellow picture with a clamp.* Double click on the job. WinZip will now open with a window showing all the file extensions for that job. Click on the first entry in that list to highlight it. Hold down the *Shift Key* and click on all the other extensions for this job to highlight them. You can also just highlight the first one on the list. Click on the *Extract* button at the top on the toolbar. An extract window opens up. At the upper left there is an *Extract To* box. This should say *C:\stduser,* or whatever your CAT directory is where you downloaded it to. If it doesn't, you want to change this to where you want it to be extracted to, your CAT system, et cetera. To do this, go to the right where it says *Folders/Drives.* Double click on the *C drive.* Arrow down to where your CAT directory is you want to extract to. Double click on it. It will now show in the *Extract To* box. Under the *Extract To* box is *Files.* Check *Selected Files* if you highlighted all of them, or *All Files* if you only highlighted the first one. Below that check *Use Folder Names.* Click on the *Extract* button in the upper right. Click the *X* in the upper right to exit. You will now be back in Windows Explorer. Notice that your (coal.zip) file with a little yellow clamp is still highlighted. You will also see above that file all the files you just unzipped within that zipped file. You can now go into your CAT system and the job will be there unzipped and ready to go.
